This policy describes what we collect about residents, applicants and visitors to this website, what we do with it, and who else sees it.

Who we are

Hawthorne Patio Homes is a residential rental property in Leesville, Louisiana, operated by Lord Clinic, Inc. You can reach us at info@hawthorneph.com or (337) 208-0944.

What we collect

• Contact details: name, email address and phone number.
• Tenancy and lease information.
• Maintenance requests and any photos you upload with them.
• Portal sign-in records: the time you signed in, your IP address, your browser and the country the request came from.
• A log of the emails and texts we send you.
• What you enter in the inquiry form on this website.
• Your notification preferences and your SMS consent records.

How we use it

• Managing the tenancy.
• Handling maintenance.
• Sending the notifications you chose.
• Security and fraud prevention.
• Meeting our legal obligations.

Who we share it with

We share information with service providers who act for us and only on our instructions:

• Cloudflare, for website and portal hosting, email delivery and sign-in.
• Twilio, for text messages.
• SignWell, for electronic signatures.
• A payment processor, if you enrol in online rent payment. The processor stores your bank details. We do not.

We do not sell personal information. We disclose information when the law requires it.

Text messaging (SMS)

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

If you opt in, we text you about:

• Maintenance request receipts and status changes.
• Reminders for scheduled visits.
• Rent payment confirmations.
• Property service updates.

Message frequency varies. Message and data rates may apply. Reply STOP to cancel at any time. Reply HELP for help, or contact info@hawthorneph.com or (337) 208-0944. Carriers are not liable for delayed or undelivered messages.

Consent to texts is optional. It is not a condition of any service, and it is separate from signing in to the portal. We record consent either when you tick the box in the portal under Notifications, or when staff record it at your request, in both cases with a timestamp.

Cookies

The resident portal sets a sign-in session cookie through Cloudflare Access. The portal also sets small preference cookies that remember whether the sidebar is open and whether you chose the dark theme. There are no advertising or tracking cookies on this website or in the portal.

Retention

We keep tenancy records for the length of the tenancy plus the period Louisiana law requires us to keep lease records. Sign-in and message logs are kept for security.

Security

Information is encrypted in transit. Access to resident records is limited to property staff.

Your choices

You can change your notification preferences at any time in the portal under Notifications, including turning texts off. Email info@hawthorneph.com to review or correct the information we hold about you.

Children

The resident portal is for adult residents and the occupants named on a lease. It is not directed to children.

Changes to this policy

If this policy changes, we will post the new version on this page and change the effective date below.
